What is an email QR code for?

An email QR code opens the phone's email app with the recipient, subject and message already filled in. The person who scans it only has to tap "Send".

It is the quickest way to receive enquiries, orders, bookings or feedback without anyone having to copy your email address letter by letter.

Advantages

  • More enquiries with less effortCustomers do not have to copy your address or think about what to write: the email is almost ready and they just tap "Send".
  • Organized messagesWith a fixed subject, every email that comes from the code is easy to recognize and filter in your inbox.
  • Know which campaign worksCreate one code per flyer, store or event with a different subject and compare how many messages each one brings.
  • No address typosOne wrong letter means the email never arrives. With a QR code, the address is always right.
  • Works with any email appIt works with Gmail, Outlook, Apple Mail and whatever app each person uses on their phone.

An email QR code is also a simple alternative to web forms: you do not need to build anything or have a contact page, and messages arrive straight in the inbox you already check every day.

How it works in 3 steps

  1. Fill in the detailsEnter the recipient address and, optionally, the subject and message.
  2. Customize the designChoose colors, dot shapes and a frame, or add your logo. The preview updates instantly.
  3. Download and shareDownload it as PNG, JPG, WEBP, SVG or PDF, test it with your phone, then print it or share it anywhere.

  1. Enter the email address that will receive the messages.
  2. Add a subject, such as "Quote request", so you recognize the messages at a glance.
  3. Optionally, write the opening message the person will see.
  4. Customize the design and download the code.

Ideas for using it

  • Requesting quotes from a flyer or catalog.
  • Collecting feedback and suggestions in shops and restaurants.
  • Customer support on product packaging.
  • Sign-ups for courses, workshops or events.
  • Reporting problems with equipment, rooms or facilities.

Tips

A clear subject helps you filter and reply faster. You can create different codes with different subjects to know where each message comes from, such as "Trade fair flyer" or "Table 12".

Keep the message short or use it as a template to complete, such as "Hi, I am interested in…". That way the person only adds what is missing.

Size, color and contrast for your email QR code

An email QR code stores the address, subject and message, so its density depends on what you write. With just the address and a short subject, the code reads well at 1 in (2.5 cm). If you include a long message, go up to 1.6 in (4 cm) or shorten the text. On reception signs, customer service desks or trade-show stands, allow 4 in (10 cm) for every 3 ft (1 m) of distance.

Use a dark, understated color such as your brand blue, and keep the background light. Next to the code, explain what happens when it's scanned: "Scan to request a quote" or "Send us your feedback". Also write the email address in plain text for anyone who prefers to copy it by hand or is scanning from a device without an email app set up.

Other types of QR codes

Each type of code has its own generator with exactly the fields it needs. Pick the one that fits what you want to share:

Frequently asked questions

Is the email sent automatically?

No. The code opens the pre-written email and the person decides whether to send it. Nothing is sent until they tap "Send".

Does it work with Gmail, Outlook and Apple Mail?

Yes. It opens whichever email app the person has set as default on their phone.

Can I add several recipients?

Yes, enter the addresses separated by commas in the "To" field.

Is my email address visible?

Yes, anyone who scans the code will see the recipient address. Use an address meant for receiving enquiries.

What if the phone has no email app set up?

The phone will ask the person to choose or set up an email app. That's why it's worth writing the address next to the code too, so nobody is left without a way to reach you.

Can I add a CC to the email?

The generator fills in the recipient, subject and message, which every email app supports. If you need it to reach several people, use a group address or an automatic forward in your mailbox.

Can I use it to receive orders or bookings?

Yes. You can set the subject to "Booking" and a message with blanks such as "Date: … Guests: …". The customer just fills in the details and sends it.
