Create a free QR code that adds your event to the phone's calendar, with date, time, place and description.
An event QR code stores the name, date, time, place and description of an appointment. When scanned, the phone offers to add it straight to the calendar, so nobody has to write anything down.
That way attendees get a reminder before it starts and have the address at hand, which reduces forgotten events and no-shows.
If you organize events often, create one code per date and pair it with a location QR code for the venue and a WhatsApp QR code for last-minute questions. Attendees will have everything they need on their phone and will arrive on time.
Check the date and time carefully before printing: the event is fixed inside the code and cannot be changed later. If anything changes, generate a new code.
Keep the description short. If you have a lot of information (full agenda, map, tickets), put it on a website and add the link to the description.
An event code stores the title, venue, dates and description, so its density grows quickly. With brief details it reads at 1.2 in (3 cm) on an invitation; if you add a long description, go up to 1.6 or 2 in (4 or 5 cm). On a poster or a banner, allow 4 in (10 cm) for every 3 ft (1 m) of distance, and place it where people can stop for a few seconds.
Wedding or birthday invitations tempt you to use gold, silver or pastel shades, but those colors don't scan well. Use a dark color from the design palette for the dots and save the gold for the frame or the decorations. If the invitation is printed on textured or embossed paper, put the code on a smooth area.
Each type of code has its own generator with exactly the fields it needs. Pick the one that fits what you want to share:
With the phone's calendar: Google Calendar on Android and Apple Calendar on iPhone, among others. The phone asks before adding it.
No. The event details are inside the code. If they change, create a new one.
The event is added with its date and time, and each person's calendar alerts them according to their notification settings.
Yes. Put the video call link in the "Place" field or in the description.
Yes, it's one of the most popular uses. Guests save the date and venue to their calendar with one tap, so they won't forget.
The date and time are saved exactly as you enter them, and the phone's calendar shows them in the device's local time. If your guests are traveling from another country, also state the local time in the invitation text.
Yes. Write the link in the event description and it will appear in the calendar entry. If you'd rather the code open the ticket page directly, use a link QR code.
